Short answer

Choose MSP tools by the decision and accountable workflow they support. SCOUTz helps prepare findings, scoped work and verification; your PSA, RMM, security and documentation systems remain responsible for operational delivery.

Give each part of the stack a clear job

RMM supports device operations and remote administration. PSA supports service, project and commercial workflows. Documentation preserves operational knowledge. Backup and recovery tools protect and restore supported data. Endpoint security and specialist testing address other distinct requirements.

Capabilities vary by product and configuration. Do not assume these platforms lack prioritization or sales features. Ask where your own evidence thread breaks, rather than buy another tool because a category diagram has an empty box.

Connect the reason for the work to its scope

The sales-evidence layer helps the MSP explain which condition deserves a conversation, what is unknown and what a first action could look like. A possible consequence remains a hypothesis until the available evidence and customer context support more.

Keep the source, date and owner attached when moving a finding into the work plan. That prevents a proposal from becoming a disconnected product list and gives the delivery team a reason behind the task.

Use your own rates and service catalog

Studio proposals use the MSP’s saved hourly rate and finding-to-service mappings. Review unmapped findings, estimate ranges and dependencies rather than imply every item automatically becomes a priced service.

Report Plays package the relevant material for First meeting, Win the deal, Onboard and QBR. The Win the deal play needs consent where internal evidence is used. The visual Report Studio remains in validation, not generally available.

Track the accepted work without replacing the PSA

Delivery Projects track accepted proposals with Not started, In progress, Blocked, Completed and Canceled states, plus a client status link and PSA export. HubSpot and HaloPSA are export-ready; export does not mean two-way synchronization or automatic push.

The MSP chooses its systems of record, validates mappings and handles duplicates through its approved workflow. Preserve customer identifiers and permission boundaries when handing work to another system.

Keep the next review tied to evidence

A rescan can add a dated comparison for the QBR. It should not turn a closed task into a verified control without a comparable check, and it does not replace operational monitoring.

AI Center, Applications Center and Ransomware Intel add their supported evidence context. S.O.N.A.R. is in development and not available. Distinguish shipping workflows from ideas that still require validation.

The evidence behind the decision

35 public sources for a domain scan; 92 sources with read-only Microsoft 365 consent. Every report counts its checks and shows anything it couldn't read as unread, never as clean.

Microsoft 365 reviews require customer approval and read-only access. SCOUTz does not read mail, files, chats, documents or prompts, install an agent, or make changes.

In one example scan, the domain review read 17 checks; in one Microsoft 365 example, it read 174. Those are example results, not fixed coverage promises. Availability, permissions and source readability affect each run.

Deterministic checks decide findings, AI writes explanations and a human signs off. The MSP approves changes, performs delivery and determines whether the verification evidence is sufficient.

Frequently asked questions

Does SCOUTz replace my PSA, RMM or endpoint security?

No. It supports evidence, explanation, work planning and verification; operational delivery remains in the appropriate MSP systems.

How do findings become work in my stack?

Review the task, owner, estimate and verification criteria first. Use ticket-ready text or the supported export workflow; export is not an automatic two-way connection.

Are HubSpot and HaloPSA supported?

They are export-ready in the supplied product scope. Confirm the current export fields and your system-of-record rules; do not assume automatic push or synchronization.

Can SCOUTz price a proposal?

Configured MSP rates and service mappings support proposal preparation. Unmapped items, dependencies and estimate ranges still require human review.

Is S.O.N.A.R. available?

No. S.O.N.A.R. is in development. Do not make it a dependency in a current prospecting workflow.
